Read and manage your form responses

When someone fills in one of your forms, their response lands in your Inbox. From there you can read it, mark where it stands, jot a note, and keep things tidy. It's no trouble to stay on top of.
Before you start
Responses belong to the profile that owns the form. If you have more than one profile, switch to the right one. You'll need at least one form that people have submitted. If your inbox is empty, that's the place to start.
Opening your inbox
- Go to Forms in your navigation.
- Open the Inbox tab.
- The left side lists every response. The right side shows the one you've selected.
Unread responses show in bold so they stand out.
Reading a response
- Tap any response in the list on the left.
- Its details open on the right: who sent it, the message, and every field they filled in.
- Opening a response marks it as read, so the bold styling clears.
If a response came from a booking form, you'll also see booking details like the date requested and the service type.
Filtering and searching
When the list gets long, narrow it down.
- Use the tabs above the list (All, Bookings, Contacts, Feedback) to show one kind at a time.
- Use the Search messages... box to find a response by name or content.
Marking where a response stands
Each response has a status so you can track it. Open a response, then use the menu to set one:
- New: you haven't dealt with it yet.
- Read: you've seen it.
- Archived: handled and tucked away.
- Unqualified: not a fit, but kept on record.
- Spam: junk.
Pick Mark as and the status you want. The badge on the response updates right away.
Adding a note to a response
Notes are private to you and your team. Use them to record what you did or what to do next.
- Open a response.
- Scroll to Notes & Activity.
- Type in the Add a note... box and save.
Your note appears in the activity list with the time you added it.
Archiving a response
Once you've handled a response, archive it to clear it from your main view without deleting it.
- Open the response.
- Select Archive.
Archived responses are still there. Switch the status filter to find them again.
Deleting a response
If a response is junk and you don't want it on record, you can remove it for good.
- Open the response.
- Select Delete.
- You'll be asked to confirm, because this can't be undone.
Only delete what you're sure about. Once it's gone, it's gone.
Saving your responses to a file
You can download all of a profile's form responses as a spreadsheet.
- From the Forms area, choose the export action.
- We build a spreadsheet file and download it.
The file is an Excel-style spreadsheet (.xlsx) you can open in most spreadsheet apps.
My inbox is empty
An empty inbox means no one has submitted a form for this profile yet. The screen says "Share your profile to start collecting responses." Two things to check:
- Your form is turned on. Open the form's Basics tab and confirm Active is on. An inactive form can't take responses.
- People can reach the form. Copy the form's link from its Share card and send it out, or add the form to your profile.
I didn't get an email about a new response
We only email you when you've added an address to the form. Open the form, go to the More tab, and check Notification Emails. Add your address if it's empty. The response is still safe in your Inbox either way.
A response is missing some answers
A field only shows an answer when the visitor filled it in. If a field wasn't required, they could skip it. Open the response and look under All Fields to see exactly what they sent and what they left blank.
